General

1. Is your system right for my organization?
The WorkForce Software system delivers a high return on investment in almost any setting. 2. Can the software operate in languages other than English?
Yes, the software is fully internationalized and supports multiple date formats, currency formats, and languages. Translation files are provided in Hebrew, Spanish, German, and French. Others can be delivered quickly upon request or created by customers.

3. Can the system meet our organization's policies?
Yes!! The WorkForce Software system is the only product on the market with the unique ability to meet customer requirements without customization. Your needs can be handled by our software -- even if they are complex or business-specific. 4. Is this an ASP/hosted solution? Or do I run the system on my own servers?

System Requirements

1. What are the desktop requirements for your workforce management system?
On the desktop, you only need a web-browser (Internet Explorer, Mozilla, Firefox, or Safari).

2. What are the server requirements for your workforce management system?
If you choose to host the workforce management system, you will also need a database and application server. On the application server, any platform that supports Java is able to run our software, including Windows 2000/XP, Linux, Solaris, AIX, HP/UX, and others. For more information on certified platforms, please contact us.

The software comes with an Apache Web Server, but is also compatible with most web servers, including Microsoft IIS.

System Features

1. Can my employees report time on an electronic timesheet without using a time clock?
Yes. Employees can report time through our online time sheets (click here for a screenshot). See our data collection page for information on all the available ways for employees to report time.

2. Can I collect time from my employees at a time clock or badge reader?
Yes, time can be collected with one of a variety of compatible badge readers (bar code, magnetic strip, bio-metric, etc). See our data collection page for information on all the available ways for employees to report time.

3. Can I collect time from my employees at a common (kiosk) touch screen PC?
Yes, we have interfaces to several touch screen PCs. See our data collection page for information on all the available ways for employees to report time.

4. Can my employees punch in/out and have the computer record the correct time?
Yes, there is a WebClock feature of the system that automatically logs the time employees punch in and out. See our data collection page for information on all the available ways for employees to report time.

5. Can the system track labor information (project, tasks, accounting code, department, etc.)?
Yes, employees can enter labor distribution information or the system can default it based on their employee demographics. Labor distribution fields are unlimited in number and completely configurable. Features such as commonly used charge codes, defaults, and restrictions on usage are all a part of our software.

6. Can there be multiple approval levels?
The software permits employees to approve their own time sheet (if they log into the system), and/or multiple manager approvals.

7. Can I define my own exceptions and messages?
Exceptions conditions are an area of strength in our software and are very flexible. The software permits an unlimited number of exception conditions and messages to be defined. Here are some examples of exceptions you could create with our solution:

  • Early or tardy.
  • X number or earlies or tardies in any time frame.
  • Charging time to an non-home department
  • Employee started on FMLA
  • Reporting X consecutive sick days
  • Actual overtime exceeds scheduled overtime by X
  • More than X sick days on Mondays and Fridays
  • Use of vacation time in first X days of employment

8. Will the system track time off?
Our system has exceptional capabilities to calculate all time off earned as well as track current, up-to-date balances of time off available. It can be used for vacation, sick, holidays, FMLA, or other categories.

9. Does the product have any features specific to school districts, colleges or universities?

Miscellaneous

1. Can the system interface to my HR or payroll system?
We provide a variety of standard interfaces to/from HR, payroll, and scheduling systems such as ADP PC Payroll, HRizon, and Oracle HRMS. Interfaces to other leading systems such as Lawson, PeopleSoft, JD Edwards, etc, or custom systems can also be provided. Our system also has an XML and comma separated interface capability to move data between other applications.

2. What kind of security does the system have?
Our product utilizes a secure ID/password scheme to protect information our application from unauthorized access. Integration with your existing Windows, LDAP, or other security systems is also possible.

3. What kind of support options are offered?
Both standard business hours support and 24x7 options are available. The support agreement provides you with the following:

  • Access to our staff via telephone or e-mail to ask questions about the software.
  • Problem reporting via telephone, e-mail, or our World Wide Web support site.
  • Access to our problem resolution database on our World Wide Web support site.
  • Through a secure, Internet connection to your servers, WorkForce Software will diagnose problems you report.
  • Software updates to correct application problems.
  • Guaranteed response times based on your requirements.

4. Is the system scalable? How many employees can it handle?
The software is specifically designed to be scalable and support large employee populations. The solution is a multi-tiered, web based, time and attendance system designed for larger organizations. The system is designed to handle upwards of 25,000 employees. WorkForce Software has conducted detailed tests of the application to ensure it can work in large environments.
